Let clients book the right service with their favourite specialist
Clients book at 1 am with the specialist they love, and your front desk wakes up to a full, correct calendar.

The situation
Section titled “The situation”In beauty and wellness, clients rarely book “a haircut”; they book “Reem, for balayage, Thursday evening”. Getting that right by phone takes several messages back and forth. Your agent can do it in one short chat, using your real services, specialists, and schedules.
How it works

Agent: For hair colouring we have Reem, who specializes in balayage, and Hala, who is known for natural shades. Do you have a preference?
Customer: Reem, please. Thursday evening if possible.
Agent: Reem has Thursday at 6 pm or 7:30 pm. Which suits you?
Customer: 7:30.
Agent: You’re booked for hair colouring with Reem on Thursday at 7:30 pm. Your booking reference is PP-5WQ2NB.
What you switch on
Section titled “What you switch on”- Set up your services and add each specialist as a resource, with their weekly schedule, linked to the services they provide. See Set up your services and resources.
- Install Book appointments and enter your Staff notification email.
- Describe each specialist in your knowledge base in one line, such as “Reem: balayage and colour correction”, so the agent can say what each one is known for. See Add a document to your knowledge base.
- Describe your services by the goal they meet, such as “Hydrating facial: for dry or tired skin”, so clients who describe a goal rather than a service, such as “my skin feels dry”, get a fitting suggestion.
- Connect WhatsApp so clients receive confirmations and the reminder 2 hours before the appointment (by default). See Booking notifications and reminders.
- Add photos of your work to Photos, so the agent can show a result when a client asks. See Add photos your agent can send.
What your team sees
Section titled “What your team sees”- Each specialist’s day in the calendar, filtered by resource, with every booking linked to its conversation. See Manage bookings in the calendar and pipeline.
- An email for each new or cancelled booking.
- Changes clients make in the chat: the agent can move or cancel a client’s booking, and your calendar updates at once.
Tips and limits
Section titled “Tips and limits”- The agent names only specialists linked to the requested service, and only offers times that are really free.
- It never promises a cosmetic result, and mentions prices and durations only if they are in your knowledge base.
- If a client clearly agreed on a service, date, and time but no booking was created, tkana reviews the conversation shortly after it goes quiet and creates the booking.
