The situation
Section titled “The situation”Most cleaning enquiries start with a price question, often in the evening when your office is closed. If nobody answers until the next morning, the customer has already asked two competitors. Your agent can answer right away with an estimate from your own price list, then offer real free times and book the visit.
How it works
Section titled “How it works”If the job is outside your price list, for example a very large villa or a special surface, the agent does not guess a number:

Agent: Happy to give you an estimate. How many rooms is the apartment, and which district is it in?
Customer: Three rooms, in Al Malqa.
Agent: Based on our price list, here is the estimate for a three-room deep clean. The final price can change with the home’s condition and any extras. Would you like to book? I have Sunday at 9 am or Monday at 1 pm.
Customer: Sunday at 9, please.
Agent: Done. Your deep clean is booked for Sunday at 9 am. Your booking reference is PP-4KD8TR.
What you switch on
Section titled “What you switch on”- Add your price list to your knowledge base, with the units you price by (rooms, square metres) and what can change the price. See Add a document to your knowledge base.
- Set up your cleaning services and your crews or teams as resources, with their weekly schedules. See Set up your services and resources.
- Set your quoting rules in Additional Guidelines, for example “Quote only prices from the price list and always call them an estimate. If a job is not covered, say the team will confirm the price and open a ticket.” See Write your content, FAQs, and guidelines.
- Install Book appointments and enter your Staff notification email. See Let your agent book appointments in the chat.
- Check that Support tickets has a Support team email, so custom-quote requests reach your team.
- Optional: add Up-sell or Cross-sell if you sell bigger packages or extras, such as sofa cleaning with a deep clean. Both need your packages or extras uploaded with their prices.
- Test it in Try your agent before you share your number.
What your team sees
Section titled “What your team sees”- New bookings in the calendar and on the Bookings board of the Pipeline page, plus an email for each new booking. See Manage bookings in the calendar and pipeline.
- Custom-quote requests as tickets on the tickets board. See Work tickets on the board and table.
- The customer gets a WhatsApp confirmation and a reminder 2 hours before the visit (by default), once your WhatsApp number is connected and the booking messages are approved. See Booking notifications and reminders.
Tips and limits
Section titled “Tips and limits”- The agent quotes only numbers it finds in your knowledge base and always calls them an estimate. Keep your price list current.
- Add your cancellation policy to the knowledge base, so the agent can explain it when a customer wants to move or cancel.
- A service can require manual confirmation, in which case the booking starts as Pending until your team confirms it.
